Data Map

Overview

DataMap systems are locations where various information is stored. The system page displays various details about that system, for example, whether or not that system stores personal information, the retention schedules mapped to that system, the data type and so forth. This guide will take you through the steps required to upload a new DataMap system.

Steps

  1. From the Data Governance Tool Main Screen, click the hamburger menu present on the top left corner of the screen. Graphical user interface, text, application, email Description    automatically    generated

  2. From the hamburger Menu, click Upload

  3. Once on the Upload page, click on the Select Document Type drop-down Graphical user interface, text, application, email Description    automatically generated

  5. Once Data Map has been selected, a Configure Template button will appear on the right of the drop-down.

  1. From the Configure Template page, drag and drop the columns according to the order of your choice. Columns that you wish to exclude from your template can be dragged and dropped to the Exclude Columns area. Graphical user interface, application Description automatically    generated

  2. Click to save the template to your device

  3. Open the template on an excel sheet on your device and enter the required details under each field. Multiple values can be entered by separating different values with commas.

    Note: System Name, Business Function Owner, Geography, Data Type and Legal Hold are mandatory fields and data should be entered into them.

  4. Save the excel sheet to your device.

  5. On the Uploads page on Data Governance Tool, click browse.

  6. Select the excel sheet from your device and click Open. The excel sheet will appear on the Browse tab.

  7. Click Save

  8. The file will get uploaded to the Data Governance Tool. The status of the file at this time will be Uploaded. A web job runs every 5 minutes which will change the status of the uploaded file

  9. After the web jobs runs, the status of the file will change to Report Generated.

  10. Click on Report Generated to view the file and verify that the details are as required. Once the verification is done, click the Approve button present on the bottom left of the screen. Graphical user interface, text, application, email Description    automatically    generated

  11. Once you click Approve, a message will appear at the bottom of the screen stating that the report is being approved.

  12. Once the web job runs, the status of the file will change to Data Map Generated.

To view the Data Map system

  1. Click on DataMaps from the hamburger menu

  2. From the DataMaps page, click on System Names Graphical user interface, application Description automatically    generated

  3. Here you can access the list of existing Data Map systems. Search for the system you uploaded. You can enter the name of the system on the Search tab. Graphical user interface, application, email Description    automatically    generated

  4. Click on the System

  5. Here you can view the Data Map system you uploaded and all of its details. Graphical user interface, application Description automatically    generated

  6. To edit any field within the system, click the icon on the top right of the field and make the required changes
